Refund Policy

Last updated: January 2025

1. Overview

At Audionexarithm, we are committed to delivering high-quality audio engineering services that meet or exceed your expectations. We understand that creative projects require flexibility, and we strive to handle all refund requests fairly, transparently, and on a case-by-case basis. This Refund Policy outlines the circumstances under which refunds may be issued and the process for requesting one.

Because our services are custom and labor-intensive — each project involves dedicated time, expertise, and personalized engineering work — our refund policy reflects the nature of bespoke creative services rather than standardized product sales.

2. Cancellation Before Work Begins

If you cancel your project before any engineering work has been performed, you are entitled to a full refund of any payments made, including any deposits. A cancellation request must be submitted in writing via email. We consider work to have "begun" once we have started the active processing, mixing, mastering, or correction of your audio files — not merely upon receiving or organizing your submitted files.

If you have paid a deposit and cancel before work begins, the full deposit will be refunded within 10 business days of the cancellation request.

3. Cancellation After Work Has Begun

If you cancel your project after engineering work has already commenced, refund eligibility will be determined based on the amount of work completed at the time of cancellation:

  • Less than 25% completed: A refund of 75% of the total project fee may be issued.
  • 25%–50% completed: A refund of 50% of the total project fee may be issued.
  • More than 50% completed: No refund will be issued, as the majority of the engineering work and studio time has already been invested.

The percentage of completion will be determined by the Studio based on the scope of work performed relative to the total project scope. We will communicate our assessment to you transparently and in good faith.

4. Dissatisfaction with Results

We include revisions in every service tier specifically to address any concerns or preferences you may have about the final result. We strongly encourage you to use your included revisions to guide the project toward the outcome you envision before considering a refund request.

If, after all included revisions have been exhausted, you remain dissatisfied with the results, please contact us to discuss your concerns. We will review the project on a case-by-case basis and may offer:

  • Additional revisions at no charge if we determine that the delivered work does not meet the agreed-upon project specifications.
  • A partial refund if we determine that the Studio has materially failed to deliver the agreed-upon scope of work.
  • A credit toward a future project if the dissatisfaction is based on subjective creative preferences rather than technical deficiencies.

Refund requests based purely on subjective taste preferences — where the delivered work meets the technical specifications and scope of the project agreement — are generally not eligible for refunds. Audio engineering inherently involves artistic and subjective elements, and differences in taste do not constitute a service failure.

5. Service Errors

If the Studio delivers files containing clear technical errors attributable to our processing — such as audible distortion not present in the original files, incorrect file formats, missing sections of audio, significant timing or alignment errors, or other demonstrable engineering mistakes — we will correct the errors at no additional charge. If the errors cannot be corrected to your reasonable satisfaction, a full refund will be issued.

6. Non-Refundable Circumstances

Refunds will generally not be issued in the following circumstances:

  • The client fails to provide adequate source material, instructions, or references, leading to results that differ from expectations that were not communicated to the Studio.
  • The client submits audio files with pre-existing quality issues that were disclosed by the Studio prior to commencement of work, and the client agreed to proceed with the understanding that certain limitations may affect the final result.
  • The client requests changes that fall outside the original project scope after the agreed-upon work has been completed.
  • The project has been fully delivered and approved by the client.
  • More than 30 days have elapsed since the final delivery of completed files.

7. Refund Process

To request a refund, please contact us via email with the subject line "Refund Request" and include the following information:

  • Your full name and the email address associated with your project.
  • A description of the project and the service(s) purchased.
  • The reason for your refund request, with as much detail as possible.
  • Any relevant file references, revision history, or communication records that support your request.

We will acknowledge receipt of your refund request within 2 business days and provide a determination within 7 business days. If a refund is approved, it will be processed within 10 business days using the original payment method. Depending on your payment provider, it may take an additional 5–10 business days for the refund to appear on your statement.

8. Album and Bundle Projects

For album, EP, or multi-track bundle projects, refund eligibility is assessed on a per-track basis. If you are dissatisfied with specific tracks within a larger project, we will address those individual tracks through revisions or partial refunds as appropriate, rather than issuing a refund for the entire bundle. This approach ensures fairness to both the client and the Studio.

9. Rush and Priority Fees

Rush delivery and priority turnaround fees are non-refundable once the expedited work schedule has been initiated, regardless of the outcome of the project. These fees compensate the Studio for schedule adjustments and prioritization, which cannot be reversed once committed.

10. Dispute Resolution

If you are not satisfied with the outcome of a refund request, we encourage you to reach out to us directly to discuss the matter further. We are committed to finding fair and reasonable solutions for all parties. If a dispute cannot be resolved through direct communication, it will be handled in accordance with the dispute resolution provisions outlined in our Terms of Service.

11. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. Any refund request will be governed by the version of this policy in effect at the time the project payment was made.
